OSP (Omics Service Provider) Sharing

Overview

OSP Sharing enables Omics Service Providers (OSPs) to securely share analysis results generated in Via Foundry with their customers, including customers who do not yet have a Foundry account.

This feature allows OSPs to provide controlled, read-only access to Projects, Runs, and published reports without manual file transfers, while maintaining auditability and a clear upgrade path for customers. Examples of other Foundry users that can benefit from this capability include:

  • CROs delivering analysis results to their customers
  • Core facilities sharing outputs with intra/inter-organization labs
  • Pilot or pre-license customer evaluation

What Can Be Shared

Using OSP Sharing, OSPs can:

  • Share an entire Project with selected published Runs
  • Enable or disable visibility of individual Runs
  • Provide read-only access to reports, files, and pipeline structure
  • Track customer access and data copy events
  • Receive notifications when customers access or copy shared data

Shared users cannot modify Projects, Runs, or data unless they upgrade to full Foundry access.


Sharing a Project with a Customer

Invite a Customer

Only Project owners or administrators can invite customers.

  1. Open the Project you want to share.
  2. Navigate to Settings → Sharing.
  3. Click Invite Group.
  4. Select an existing group or create a new group.
  5. Enter one or more customer email addresses.
  6. Send the invite.

Invited customers appear immediately with a Pending status envelope icon, until accepted.

Note

Duplicate invites to the same email address are blocked. If an invite already exists, the system will indicate that the user has already been invited.

Customer Signup and Access

When a customer receives an invite email:

  • If they do not already have a Foundry account, they are guided through the Walk-Ins Welcome signup flow.
  • Upon signup, the customer is automatically added to the invited group.
  • Access is limited to read-only viewing of the shared Project and published Runs.

Academic users can complete signup directly.
Commercial users may be routed to contact Via Scientific sales as part of onboarding.

Read-Only Project Experience

Shared customers can:

  • View Project structure and metadata
  • Open published Run reports
  • Browse report files and pipeline outputs

Shared customers cannot:

  • Edit Projects or Runs
  • Re-run pipelines
  • Modify or delete data
  • Upload new data
  • Modify pipeline parameters
  • Change sharing permissions

Note

Any action that requires write access (such as copying a Run) will prompt the user to upgrade to full Foundry access.

Notifications and Audit Events

Foundry tracks key events related to shared access.

Email Notifications to OSPs

OSP analysts receive email notifications when:

  • A customer first accesses a shared Project or Run
  • A customer successfully copies a shared Run into their own account

Each notification includes:

  • Project name
  • Customer email
  • Timestamp of the event

Upgrading and Data Ownership

Shared customers may upgrade to full Foundry access to:

  • Copy shared Runs into their own storage location
  • Continue analysis independently
  • Manage and retain their own data

Once a customer has copied their data, OSPs may delete original datasets from their own storage locations in accordance with internal retention or compliance policies.


Run Copy Notifications

When a shared customer copies a Run into their own Foundry account, Foundry automatically notifies the Omics Service Provider (OSP).

This notification confirms that the customer has successfully taken ownership of the shared data and that the OSP may proceed with internal data cleanup if required.

What Triggers the Notification

An email notification is sent to the OSP when:

  • A shared customer completes the Run Copy workflow
  • The Run and its published reports are successfully copied into the customer’s Foundry environment

Notification Details

The email notification includes:

  • Project name
  • Run name
  • Customer email address
  • Timestamp of the successful copy event

Note

Run copy notifications are sent only once per Run, upon successful completion of the copy action.

Why This Matters

Run copy notifications allow OSPs to:

  • Confirm successful delivery of analysis results
  • Maintain audit visibility for shared data
  • Safely delete original datasets from OSP-managed storage locations in accordance with retention or compliance policies
